How to Conduct a Client Meeting

Client consultations are one of the most important part of the client-booking process. It allows photographers to not only get to know their clients prior to their wedding or session, but also be able to communicate on client needs and what kind of art they are expecting!

Client consultations don't necessarily need to happen in one format. They could happen over FaceTime, Zoom or in person! I personally like to make sure that i at least see my client's faces when doing each meeting. It helps in preparation for your shoot as you can read body language and overall get more comfortable with your clients and vice versa.

How many times should i meet with my clients ahead of our session?


This depends on the type of session. For a family session or a portrait session, i will only do one consultation. This will occur before booking so that expectations of what my services will look like will be more clear.

For a wedding, i like to meet with clients twice. The first consultation being before booking, asking details about their wedding (where, when, how many guests, etc...) and talking about payment methods. The second consultation will happen closer to the wedding. By then your couple will likely have many more details nailed down. In this meeting you can go over timelines, things to bring for detail photos, (garter, invitations, accents matching wedding colors) and you can cover questions about the wedding party.

  • your prices and packages - talk about any types of add ons or offers
  • expectations of the photoshoot - timing, style of photos desired
  • photography style - do you shoot more posed or candid? a mixture of both?
  • payment methods - talk about expectations regarding how payment will occur
  • Clothing choices - what is their vision/vibe and how can you help them accomplish it?

  • What is your story?
  • Where did you meet?
  • When is your wedding?
  • Where will it be located?
  • How many people will be attending?
  • Prices and packages
  • Payment expectations - what does your payment timeline look like?
  • Do you want a second photographer?
  • Have you already had engagement photos taken?

  • Do you have any questions for me?

  • Wedding party size
  • Timeline of the day
  • Will you have a wedding coordinator at your venue?
  • What are your wedding colors?
  • Are there any things with family that I should know about?
  • What poses or shots do you NEED taken?
  • Remind them to bring things for detail photos! This can include extra flowers, invitations, perfume, things that capture the colors you guys have done for the wedding.
  • Sunset photos!
